Position Summary
The Box Office & Administrative Coordinator is a key member of the Avalon Foundation team, responsible for delivering excellent patron service, ensuring smooth box office operations, and providing administrative and marketing support. Working closely with the box office team, this role manages ticket sales, coordinates volunteer support during performances, assists with communications, and helps maintain the Foundation’s online presence.
Key Responsibilities
Box Office & Patron Services
• Maintain regular box office hours during the week and prior to scheduled Avalon Theatre performances.
• Sell tickets by phone, in person, and online, providing friendly and professional customer service.
• Coordinate special seating requests and accessibility needs.
• Learn and manage the ticketing software (Spektrix), including building shows, generating reports, and maintaining accurate data.
• Handle daily cash sales, reconcile ticket sales, and prepare deposits.
• Provide patron services during performances, including volunteer coordination and front-of-house support.
• Communicate ticket counts and updates to agents, renters, and internal staff.
Administrative Support
• Answer phone calls, manage voicemail, and respond to box office email inquiries.
• Monitor and manage general office supplies (Staples orders, water delivery, etc.).
• Update and maintain schedules through MCTV programming software.
• Assist with general office tasks and provide support across departments as needed.
Marketing & Communications
• Provide general marketing support, including creating flyers, newsletters, social media content, or coordinating with external designers.
• Participate in social media campaigns and digital outreach.
Technical & Community Support
• Support Foundation programs and initiatives as needed.
• Populate and update the Community Calendar through MCTV InfoVue software.
Qualifications Required
• Strong, professional customer service and oral and written communication skills.
• Detail-oriented, kind, and considerate demeanor with willingness to go above the minimum standard of customer service.
• Experience handling cash and reconciling daily sales.
• Ability to manage multiple priorities in a fast-paced environment.
• Comfort with technology, including ticketing systems, scheduling software, and Microsoft Office/Google Suite.
• Willingness to work evenings and weekends for performances. Preferred
• Experience with Spektrix or other ticketing software.
• Basic graphic design skills (Canva, Photoshop, InDesign, etc.).
• Knowledge of livestream or video recording equipment (basic operation only).
• Ability to attend biweekly Easton Town Council Meetings to operate pre-set equipment for livestreaming and recording.
Work Environment
• This position is based in the Avalon Theatre’s lobby box office.
• Regular office hours with frequent evening and weekend work during performances.
• Team-oriented role with collaboration across administrative, marketing, and production staff.

BARTENDER
The Avalon Foundation is always seeking TIPS certified volunteers to work concessions during performances and at special events throughout the year. Concessions volunteers must be over 21.
USHER
Nearly all of the Avalon Theatre performances require ushers to help with basic theatre set up, assisting with ticket checking, showing patrons to their seats, and light clean up after the show. A big benefit for performing this task? You get to see a lot of live music for free!
